Overview

The AI Report Builder is like having a data assistant that understands plain English. Instead of navigating through multiple screens or building complex filters, simply describe the information you need - like "show me our top 10 customers this year" - and you'll get your answer right away.

Before You Begin

Make sure you have:

  • Access to the Quality Assurance section in GrowerIQ

  • The AI Report Builder permission enabled for your account

🚀 Getting Started

Get up and running in under a minute - no training required.

  1. Navigate to AI Report Builder
    In the left sidebar, click Quality Assurance, then select AI Report Builder ✨.

  2. Type your question
    In the text field at the bottom of the chat panel, describe what you want to see. Be as specific as possible for best results.

  3. Press Enter or click Send
    The AI will process your request (you'll see a typing animation while it works).

  4. Review your results
    Your data appears in the panel on the right. The chat shows a summary of what was found.

🖥️ Understanding the Layout

The screen is split into two panels that you can resize:

Left Panel (Chat)

Your conversation with the AI. Type questions here and see responses with helpful summaries.

Right Panel (Results)

Your data displayed in a grid. Sort columns, filter rows, or export to Excel.

Drag the divider between panels to make either side larger or smaller.

Orders & Sales

  • "Top 10 customers by order value this year"

  • "Monthly sales totals for 2024"

✨ Tips for Better Results

  • Be specific: "orders from November" works better than just "orders"

  • Add filters: Include dates, status values, or names to narrow results

  • Ask for totals: Use words like "total", "count", "average", or "sum"

  • Refine as you go: Ask "now show only the shipped ones" to filter further

📊 Working with Results

Once your data appears, you can sort, filter, export to Excel, or create charts - all without leaving the page.

Sort Your Data

  • Click any column header to sort A→Z (or low to high)

  • Click again to reverse the order

  • Hold Shift and click multiple columns to sort by several fields

Filter Your Data

  • Hover over a column header and click the menu icon (three lines)

  • Use the filter options to show only certain values

Export to Excel or CSV

  • Right-click anywhere in the grid

  • Select Export from the menu

  • Choose CSV Export or Excel Export

Create Charts

  • Select a range of cells you want to visualize

  • Right-click and select Chart Range

  • Pick your chart type (bar, line, pie, and more)

🔍 Viewing Row Details

Wide tables with many columns? No need to scroll sideways - double-click any row to see all its data in one easy-to-read panel.

  • Double-click a row to open the details sidebar

  • Double-click the same row to close it

  • Double-click a different row to switch to that record

  • Click the X button to close the panel

This is especially helpful when your results have many columns and you want to see everything for one record without scrolling sideways.

💡 Tip

In the detail panel, inventory and batch IDs appear as clickable links that take you directly to that item in GrowerIQ.

💾 Saving Reports

Found a report you'll want to run again? Save it for quick access later:

  1. Run your search
    First, ask your question and make sure the results are what you need.

  2. Click the Save button
    Look for the bookmark icon in the results header.

  3. Name your report
    The AI suggests a name and description - edit them if you like.

  4. Click Save
    Your report is saved and will appear in the dropdown menu.

▶️ Running Saved Reports

Rerun saved reports with one click - no rebuilding, no re-filtering. Get instant results exactly the way you left them.

  1. Open the dropdown
    Click View & Run Saved Reports at the top of the page.

  2. Select your report
    You'll see the name, when it was created, and how many times it's been run.

  3. Results appear instantly
    The report runs and your data shows in the results panel.

⚙️ Managing Your Reports

Keep your saved reports organized - rename, update descriptions, or remove the ones you no longer need.

  1. Click the Manage button
    Next to the dropdown, click the list icon.

  2. Edit or delete
    Rename reports, update descriptions, or remove ones you no longer need.

⚠️ Note

You can only edit or delete reports you created. Reports from other users are view-only.

📋 Using Pre-built Report Templates

Skip the setup - templates are pre-built reports ready to run. Just add your dates or filters and go. Look for the shield icon in the dropdown.

  1. Select a template
    From the View & Run Saved Reports dropdown, choose one marked with a shield icon.

  2. Read what it needs
    The AI will explain what the report does and what information you need to provide.

  3. Type your answer
    Respond in plain English. For example: "Show me data from November 2024" or "for harvest and drying activities".

  4. View your results
    The report runs with your inputs and displays results in the data panel.

🔄 Starting Over

To clear everything and start a new conversation:

  • Click the Start Over button at the top of the chat

  • This clears all messages and results so you can begin fresh

ℹ️ Understanding Your Results

Hover over the info icon (ℹ️) in the results header to see details about your search:

  • Total rows: How many records matched

  • Displayed rows: How many are shown on screen (up to 10,000)

  • Time: How long the search took

🤔 When the AI Needs More Information

If your question is too vague, the AI will ask for clarification instead of guessing. It might suggest:

  • Specific options to choose from

  • Example questions you can try

Just pick a suggestion or rephrase your question with more detail.

💡 Smart Suggestions

Don't re-invent the wheel - the AI recognizes when your question matches a report you've already saved and offers to run it for you.

When you ask something similar to a saved report, you'll see a suggestion:

Run saved version →

Click the suggestion to run your saved report instead - it's faster and gives you consistent results every time.

📑 Generating Auditor Reports

Auditors at your door? Generate a professional, print-ready report in seconds - complete with timestamps, summaries, and charts that prove compliance.

  1. Run your search
    First, get the data you need in the results grid.

  2. Click Generate Auditor Report
    Look for this button in the results header.

  3. Review the report
    A new window opens with your data formatted for printing, including charts and summaries.

  4. Print or save
    Use your browser's print function (Ctrl+P or Cmd+P) to print or save as PDF.

The auditor report includes timestamps, row counts, and a professional layout suitable for regulatory submissions.

❓ Troubleshooting

No results showing?

  • Try a wider date range or fewer filters

  • Check the spelling of names or status values

  • Ask a simpler question first, then add filters

Results don't look right?

  • Read the AI's summary - it explains how it understood your question

  • Try rephrasing: "Show orders" vs "List all customer orders with totals"

  • Be more specific in your follow-up

Can't access the feature?

  • Contact your administrator to enable the AI Report Builder permission
